Job Purpose:

The primary purpose of the job is that of providing para-legal support for Legal and Executive Assistant to the Cluster Legal Head. Managing and coordinate the Legal Business Unit, para-legal projects, provide standard documentation and reviews, manage and maintain standard documents, databases, legal opinions, reviews, legal projects and to coordinate and provide legal and administrative support and assistance to the Legal function.

Job Background/Context:

The Cluster Legal Division covers UAE, Bahrain, Qatar 3 countries and the legal team provides legal support for the businesses and functions. This position will report to the Cluster Legal Head and will be responsible for managing the business unit, budgets, expenses, projects, external counsel, standard documentation, opinions, office support, meetings and travel arrangement. The position will also, amongst others, be responsible for input and coordination of budgets, expenses, cost allocations, managing projects, etc.

Key Responsibilities:

• Draft, review and manage standard legal documentation.
• Provide para-legal support and manage legal projects and governance reviews.
• Manage other projects, (appointment of external counsel, standardization of documentation, etc.).
• Draft, review and format required documents, agendas, letters, memos, agreements, PoA’s, etc.
• Prepare and format presentations, organizational charts, etc. in PowerPoint and Excel.
• Compile required reports including monthly legal reports, expense reports, etc.
• Maintain the filing and records system, including SharePoint sites.
• Follow up and assist country counsels on tasks assigned.
• Manage and coordinate the legal business unit activities and duties.
• Review, monitor and track external counsel appointments, relationships and fees.
• Assist with input and monitoring of the legal budget and expense allocations. Manage and track expenses against the budget, with the ability to understand and work with legal information, financial information and generate legal and expense reports.
• Manage invoices and expenses - enter invoices into P2P and follow-up to ensure approval and payment.
• Manage and monitor trackers, CCC minutes, significant issues and deadlines, etc.
• Diary management, telephone and visitor screening, arranging internal and external meetings, calls, training, business contacts and preparing internal and external correspondence.
• Travel plans – obtain approvals and visas, bookings for flights, hotels and logistics.
• Coordinate legal committees, meetings, agendas and minutes.
• Assist new joiners in obtaining email, telephone extension, relevant hardware etc.
• Interaction with HR, Finance and other departments to manage staff, contact sheets, headcount tracking, vendor lists, reviews, etc.
• Create and maintain databases for legal opinions, standard agreements, legal vehicle information and tracking of litigation.

Five to seven years senior executive assistant or support experience, working in a service orientated organization, preferably with legal, para-legal, managerial, secretarial, or financial services background and experience.

• Team player with the ability to work with colleagues in many different countries from different cultural backgrounds, valuing diversity and differences in style or perspective.
• Excellent interpersonal and verbal communication skills, adaptable, flexible and open to change, with a “can do” attitude.
• Pro-active approach with the ability to prioritize and escalate where necessary.
• Precise and accurate work, including routine tasks.
• Absolute confidentiality and the highest ethical standards with sensitivity when managing confidential and business critical information.


• Strong administrative and organizational background or qualifications.
• A relevant formal tertiary qualification preferred.
• Language skills could be useful.
• Para-legal experience or qualifications could be an advantage.
• Exceptional candidates who do not meet these criteria may be considered for the role, provided they have the necessary skills and experience.
