The Opportunity

The College of College of Technological Innovation seeks an incumbent for the position of Administrative Assistant to provide administrative and clerical support to department including Assistant Dean so department functions in an efficient manner.

The Responsibilities
Seeks to operate in a professional manner, ensuring confidentiality, while maintaining smooth and efficient running of department.
Arranges meetings and appointments for Assistant Dean. Books rooms and informs attendees of timing and location. Produces agenda and prepares any information required for meeting. Produce minutes and distribute to attendees.
Welcomes visitors when arrive for appointments and liaises with other staff on behalf of Assistant Dean. Covers Assistant Dean’s telephone when absent and takes messages.
Creates and maintains spreadsheets, databases and web information on ZU students such semester registrations, major confirmation, high achieving students, major applications.
Collects and distributes faxes, sends faxes, photocopies, scans and maintains working order of office machinery. Orders stationary or stock required by office. Organizes transport for external business appointments for Assistant Dean and faculty. Tracks and schedules departmental vacation. Planning and organizing all events for the college, e.g. major days, IT student club meetings, field trip assistance.
As required, maintains and helps Administrative Officer and Dean with meetings, special events, photocopying, filing and creating documents.

The Requirements

Minimum of 0-1-year experience and Diploma in a relevant field or an equivalent combination of experience and education. College level preferred with strong IT skills (database, web, e-mail).
Should be able to design, build and maintain a Web site and manage a comprehensive information system containing sensitive student information.
Completion of secretarial/ administration course preferred.
Computer literacy and tying speed of 40+wpm (English)
Being able to travel domestically and internationally (chaperone) would be preferable.
Knowledge of the IT College academic program would be an advantage.
Minimum one year experience in similar role.
