Admission & Registration Assistant Abu Dhabi University - Al-Ayn

Reporting to the Admission & Registration Manager, the purpose of this position is to assist with the interpretation and implementation of ADU policies and procedures for enrolling new undergraduate students and to maintain students’ academic records .

Job Responsibilities:

Admissions
  • Conducts one on one admission counselling sessions to advise applicants on admission criteria, process, and admission status.
  • Screens applications with recommendations regarding admission criteria and send to colleges for evaluation.
  • Converts percentages from different Universities into UAE curriculum required for granting admissions.
  • Informs students on their admission status, placement exams and registration options via phone, email, SMS or in person.
  • Follows up with newly admitted students regarding placement exams, registration dates, payment deadlines, missing documents, orientation dates, etc.); Provides campus tours if needed.
  • Directs prospective students and new applicants, if needed, to financial aid/scholarships.
  • Directs new applicants on one hand to Student Support Services for student visas, transportation, lockers and accommodation.
  • Follows up with students to ensure payment of admission/placement exam related fees.
  • Generates ID cards, usernames, passwords for students and prepares admission letters as requested by students.
  • Provides students with the access details on PeopleSoft, Blackboard and university email.
  • Consults students on the sections timing, and emails the schedule with information on payment deadlines, calendar, and orientation date.
  • Ensure that students’ contact details and documents are accurately entered in ERP, Forward applications/documents to the Records Section at the Registration Department for filing.
Registration
  • Provides assistance to first time registrants on selecting the courses and registration of courses.
  • Coordinates with the colleges the credit transfer requests of transferred students.
  • Contacts educational zone to follow up on equivalency or credit transfer when needed; process and post credit transfer request in ERP.
  • Oversees the administration of academic and attendance warnings, grade appeals and dismissals.
  • Maintains students’ records, audits files, tracks students’ status, audits degrees, and assists students with graduation clearance forms.
Reporting
  • Assists with attrition studies by contacting students to run attrition surveys with Institutional Research & Effectiveness (IRE).
  • Generates different reports on non-registered students, students who need ILTES/TOFEL, missing documents, missing graduation requirements, etc.

Required Qualifications:
  • Bachelor’s degree
  • 2 years’ experience in admission & registration in academic institution.
  • Fluent in both English and Arabic languages.
  • Microsoft Office Skills; experience with ERP preferred.
  • Knowledge of Admissions and Registration practices, MS Office and Computer skills, Knowledge of Student Information Systems, Communication skills, Customer Service skills, Teamwork, Ability to work under pressure.
