Admin Assistant FN GROUP - Sharjah

required. We are looking for an experience and well-spoken receptionist with 2-5 years experience in the
UAE. Candidate must be enthusiastic, energetic and ambitious with a strong leadership and
organizational skills with the ability to multi task in an open office environment.
Candidate must be well versed in the English language and must be able to communicate
thoughts and ideas efficiently and confidently. Experience: 3 years. Education: bachelor degree. Job Responsibility:
  • Welcoming all visitors and directing them to appropriate contacts
  • Monitor and ensure that the reception area is manned operationally, prepared and
stocked at all the times
  • Keep a record of the visitors arriving and leaving the building
  • Check and sign for all deliveries and inform relevant employees for the collection without
any delays
  • Answering incoming calls according to the company brand standards, routing
procedures in a timely and professional manner
  • Taking a brief messages and passing those on via the email system or connecting callers
to staff members personal voicemail
  • Check the cleanliness of the interior, making a record of any poor levels of cleanliness or
any maintenance issues and take a necessary actions to remedy
  • Process and deliver internal and external mail daily
  • On receipt of the appropriate request form, book couriers and taxis/drivers on behalf of
employees
  • Process invoices and draw up paper work to ensure costs allocated to the relevant
department
  • Provide office supplies (stationary & kitchen supplies) for employees and maintain
adequate stocks
  • Provide administrative and general support to the Administration Manager in ensuring
compliance with Health & Safety Regulations
  • Provide logistical support to meetings held including preparation of meeting and
conference rooms and assist in arrangements for catering provisions
  • Provide support to the Administration Manager and other members of the Team and
contribute in other ways to the effective functioning of the company as required
  • Contribute in building the materials library
  • Contribute to providing any information required by the team
  • Collecting date and sales leads
  • E-marketting
  • Follow up calls with clients
  • Monitor deadlines for projects and ensure team follow general time frame
  • Organize and struct Employment visa provided Salary: AED 2000
