The Opportunity
The College of Communication and Media Sciences seeks an incumbent for The Graduate Studies, Research and Outreach Support Administrative Officer who will support the Assistant Dean for Research and Graduate Studies and the Graduate Programs Coordinator in all day-to-day operational, administrative, and personnel services in order to meet the College’s graduate and research activities and support outreach operations.

The Responsibilities

Provides full range of high-level administrative support to the Assistant Dean of Research and Graduate Studies, the College Graduate Programs Coordinator, visiting and/or Zayed University faculty teaching in graduate programs as required.

•Maintains documents and information including files, reports, records, and other material, using appropriate digital and other technology or systems.
•Develops, implements and maintains effective office policies and procedures.
•On behalf of the Assistant Dean of Research and Graduate Studies, acts as liaison between the College and other University offices, such as the ZU Office of Research, the Office of Graduate Studies and external institutions.
•Serves as the initial point of contact (by email, phone or face-to-face) for internal and external stakeholders seeking assistance, information and/or referrals related to College research or graduate education.
•Communicates verbally and/or in writing to respond to inquiries, requests, complaints, and concerns from internal and external stakeholders.
•Resolves, researches, and refers problems, often of a sensitive or confidential nature, for day-to-day operations.
•Drafts written responses or replies by e-mail as required by the Assistant Dean of Research and Graduate Studies and Graduate Programs Coordinator.
•Updates and maintains the College’s web-based research databases (e.g. the College's Google Scholar account).
•Supports faculty in updating their digital CVs
•Supports the Assistant Dean of Research and Graduate Studies in generating reports on Research and Graduate Studies activities when required. Will need to liaise with the Graduate Programs Coordinator.
•Coordinates and handles the travel arrangements and hotel bookings of the Assistant Dean of Research and Graduate Studies.
•Schedules and organizes meetings and appointments for the Assistant Dean of Research and Graduate Studies and the Graduate Programs Coordinator, books meeting rooms and informs attendees of timing and location of meetings.
•Produces agenda, minutes and prepares information required for meetings. Takes accurate meeting minutes and distributes to attendees as required.
•Processes and maintains appropriate records for College research.
•Supports in arranging internal and external events related to research and graduate studies organized by the University, the College and the Office of Graduate Studies such as graduate alumni events.
•Serves as a team member to the Assistant Dean of Research and Graduate Studies' Office by assisting and/or cross covering for other administrative support staff when needed.
•Contributes to additional projects, tasks and other duties as required by the Assistant Dean of Research and Graduate Studies, the Graduate Programs Coordinator and the Administrative Officers of the College, the Dean, visiting scholars and/or ZU faculty.
•May be required to travel to Abu Dhabi once a week to support the Graduate Programs Coordinator.

The Requirements

•A bachelor's degree from an accredited university and two years of progressively responsible administrative experience as well as experience providing support to senior executives, preferably in an academic environment or an equivalent combination of education and experience.
•Knowledge of administrative and logistical procedures and systems including filing and record keeping.
•Advanced technical and computer skills to support administrative functions including MS Office suite.
•Good typing and keyboard skills.
•Good spoken and written Arabic and English language skills.
•Knowledge of the operation of standard office equipment.
•Knowledge of office administration processes and procedures.
•Experience in calendar management, scheduling, and video and phone conferencing (i.e. Polycom).
•Working knowledge of the University in general or the University’s policies and procedures.
•Knowledge of software programs required by this position.
•Project management skills.
•Analytical experience.
